Terms and Conditions

These Terms and Conditions govern the payment of school fees at Uluwatu School. By enrolling your child(ren), you agree to abide by these terms. These terms are subject to change, and parents/guardians will be notified of any updates or modifications.

The school’s fee structure is outlined in the annual fee schedule, which includes:

  • Enrollment fees
  • Annual capital levy
  • Annual material and resources fee,
  • Tuition fees
  • Refundable deposits

Admissions Policy Overview

The school’s admissions policy is designed to ensure fairness and transparency for all prospective learners. Priority is given to learners who meet specific criteria, such as siblings of current learners or children living within the school catchment area. Parents are encouraged to submit applications early as there may be limited spaces available. All applicants must provide necessary documentation, including proof of age and residency. The school adheres to all local educational regulations in its admissions process.

Learner placement at Uluwatu School typically aligns with the start of our two main semesters— in August and January. If spaces become available in specific grades during the school year, we may also accept learners at those times, depending on availability in the relevant class.

Enrollment Fees

Payment is required once, at the time of application, to allow us to proceed with the application process.

Application Fee

All applications must be submitted together with the non-refundable application fee. This fee covers the administrative costs of processing applications, scheduling family meetings, and reviewing learner documentation.

Please note:

  • Applications will only be processed once the fee has been received.
  • The application fee is non-refundable, regardless of the outcome of the application or any change in family plans.
  • Payment of the application fee does not guarantee placement, as admission is subject to space availability and fulfillment of all enrollment requirements.

Registration Fee

A non-refundable registration fee is payable once and is invoiced upon acceptance of an enrollment offer or an invitation to be added to the waitlist. This fee secures the learner’s place or position on the waitlist and contributes to the administrative and onboarding costs associated with enrollment.

Please note:

  • The registration fee is non-refundable, regardless of any change in a family’s plans.
  • Payment of the registration fee must be completed by the due date stated on the invoice.
  • Enrollment or waitlist placement is only confirmed once the registration fee has been received.
  • This fee is separate from tuition and other school fees.

Annual Fees

Capital Levy

The Capital Levy is an annual fee, non-refundable fee payable once the learner is enrolled or re-enrolled. This levy supports the development, maintenance, and upgrading of the school’s facilities and infrastructure, including buildings, equipment, and grounds.

Material Levy

The Materials Levy is an annual fee, non-refundable fee payable once the learner is enrolled or re-enrolled. It covers consumable learning resources used throughout the academic year.

Tuition Fees

Tuition fees cover the delivery of the core academic program and access to the school’s educational resources. These fees are payable once the learner is enrolled or re-enrolled and according to the school’s payment schedule.

Refundable Deposit

A Refundable Deposit is a security payment collected at the time of enrollment or re-enrollment. It is held by the school for the duration of the learner’s enrollment and is intended to cover any outstanding financial obligations.

Withdrawal School Policies

Parents or guardians should formally notify the school in writing, specifying the withdrawal date. It’s also recommended to have a discussion with the administration or head of the school to ensure the process is smooth and that any requirements (e.g., exit interviews or records requests) are fulfilled.

Withdrawal Notice Policy:

Families withdrawing their child/ren from Uluwatu School are required to provide written notice at least eight weeks prior to the start of the upcoming term. Withdrawal notices submitted before the term begins will allow for a partial refund of tuition fee and refundable deposit.

Withdrawal notices given less than eight weeks before the start of a term are considered late, and additional administrative fees may apply. In these instances, the refundable deposit may be forfeited partially or in full. All outstanding payments, including tuition and other charges, must be settled before the withdrawal process is complete.

Late Withdrawal:

Families are required to provide withdrawal notice within the specified timeframe. Failure to do so may result in additional fees being deducted from the refundable deposit. These fees cover administrative expenses and any obligations the school has already committed to on behalf of the learner.

Financial Considerations:

Uluwatu School will require the full payment for the upcoming term if the learner withdraws without proper notice. Refunds are not provided in the term or once payment has been made for the upcoming term.

Outstanding Fees:

Any outstanding fees (tuition, extracurriculars, facilities use, etc.) must be settled before the learner’s records are released.

Exceptions & Special Cases:

If a learner is forced to leave due to unforeseen circumstances (such as family health issues, immediate family emergencies, etc.), the school will evaluate these cases on an individual basis.

ANNUAL FEES

Refund Policy for Annual Tuition Fee Payments This refund policy applies only to tuition fees paid on an annual basis. Uluwatu School divides the academic year into four terms. If a learner withdraws during the year, refunds will be calculated based on the number of full terms not attended, with a maximum refund of two terms.

  • If a learner withdraws and sends timely notice before attending any terms, a refund for up to two terms will be issued.
  • If a learner withdraws after attending one term, a refund for up to two remaining terms will be provided.
  • If a learner withdraws after attending two terms, a refund for one remaining term will be given.
  • If a learner withdraws after attending three or more terms, no refund will be issued.

Please note that no refunds are provided for tuition paid on a semesterly basis.

Capital and Materials/Resources Levies:

• These fees are non-refundable.

Refundable Deposit Policy

Uluwatu School reserves the right to retain a refundable deposit for the entire duration of a learner’s enrollment. Upon the learner’s withdrawal from the school, this deposit will be refunded in accordance with the school’s withdrawal deadlines and refund policies, after deducting any outstanding payments. These may include, but are not limited to, unpaid tuition fees, extracurricular activity charges, fees for materials and resources, reimbursements, and costs related to damages.

Tuition Billing Cycle

Uluwatu School offers flexible tuition payment schedules to accommodate families’ financial planning. The payment options and corresponding due dates are as follows:

New Learners Payment Plan:

For new learners, tuition fees are invoiced upon acceptance of the enrolment offer and due 14 days after invoice.

Continuing Learners Payment Plan:

Sibling Discount Offered

Uluwatu School offers a Sibling Discount as part of our commitment to supporting families with multiple children enrolled at the school. The discount applies only to tuition fees and becomes available once all siblings have been enrolled for at least one full academic year. Discounts are applied starting from the second eldest child, with a 5% reduction for the second child, 7% for the third, and 10% for the fourth and subsequent children.

This discount remains valid as long as the siblings are enrolled concurrently at Uluwatu School and does not apply to other fees such as the Capital Levy, Materials Levy, or Application Fee. The school reserves the right to review and adjust this policy as needed.

Late Payment

A late payment fee of IDR 50,000 per day will be applied to any outstanding balance from the day after the payment due date.
